The Proposal Coordinator will work in conjunction with the BD team as well as professional and technical staff to execute overall marketing plans, capture work, and develop a general understanding of the company’s goals and objectives. Proposal Coordinator will assist with proposal development from the decision to pursue through final delivery and debrief. Position requires excellent writing ability to assist in creating and maintaining master documents, website content, and the CRM database. This position may also assist technical staff with review of reports and technical editing to ensure quality and consistency of company deliverables.

Essential Duties and Responsibilities (including but not limited to):

Proposal Efforts

– Follows processes established by the department. Makes recommendations for improved efficiency.

– Reviews client websites daily for RFP release and distributes to the BD-Sales group. Assists with maintaining the Advertised Work List and BD calendars.

– Participates in bi-monthly BD meetings.

– Assist with outreach to teaming partners (when Ahtna cannot take the prime consultant role). Includes SOQ development when needed/requested.

– Reviews criteria and attends kick-off meetings with Capture Manager to identify teaming partners, deliverables, and timelines. Assists in identify discriminators and hot buttons for use in proposal preparation.

– Assists with draft proposal deliverables for timely completion to meet all deadlines while working with the assigned Capture Manager.

– Assists in writing master documents to include project descriptions, narratives, resumes, etc.

Technical Writing/Editing

– Assists with interviewing staff to prepare written narratives, project descriptions, brochures, and website content, etc.

– Assists project production staff with review of technical reports and specs.

Corporate Communications and Branding

– Works with the BD department to ensure deployment of quality sales strategies and consistently apply the Ahtna brand.

– Other duties and responsibilities as assigned.

Minimum Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

All Levels:

– Thorough understanding of various client requirements including Government contracting, ANC 8(a) set-aside, sole source, SF330, and D/B pursuits

– Must have excellent verbal and written communication skills

– Experience with database implementation and management

Level – I

– Three (3) to Five (5) years of relevant A/E/C specific BD experience; specialized training may be substituted for work experience

– Associates Degree in marketing, communications or related field; equivalent years of experience may substitute on a 1:1 basis

Level – II

– Five (5) to Seven (7) years of relevant A/E/C specific BD experience; specialized training may be substituted for work experience

– Bachelor’s Degree in marketing, communications or related field; equivalent years of experience may substitute on a 1:1 basis

Preferred Qualifications

– Knowledge of local A/E/C and professional services industry strongly preferred

– Deltek CRM database experience preferred

– Certified Professional Services Marketer (CPSM) certification, or is working towards obtaining

– Experience and knowledge of Alaska Native cultures
